Automated Screening vs Human Oversight: Why the Southwest Does Not Rely on Fully Automated Tenant Screening

Automated tenant screening systems are becoming more and more popular these days, especially as technology continues to improve and reshape industries. Because of this, using AI (artificial intelligence) applications for rental property management are also starting to become a norm. One example is automated tenant screening. From AI-generated affordability scores to quick background checks, many platforms promise faster results and lower operation costs. In most part of the Southwest, however, many property managers believe that relying 100% on these automated systems for tenant screening is not really ethical and fair.

Despite the fact that technology certainly has an important role in today’s property management, recent research found that the absence of human judgement entirely will result in various serious issues not only for landlords, but also for tenants. In a 2025 study looking at digital tenant screening in England’s private rental properties, it was found that systems based on automation can reinforce bias, exclude vulnerable applicants, and produce incomplete or inaccurate data. Researchers earnestly warned that decision-making based on algorithm may unfairly affect people with irregular incomes, legal migrants, younger renters, and applicants with limited credit histories.

This is very concerning, especially in the Southwest where a significant number of applicants work seasonally, are self-employed, or have irregular income. Despite the fact that these tenants are reliable, automated system may quickly misjudge them as “high risk”. On the contrary, human review allows property managers to assess the situations completely and fairly. For example, a tenant may have temporary financial issue in the past but still maintained a stable employment record and good references from landlord. In a digital screening method, the system usually only sees the credit score or the historical marker, while a human can understand the context, patterns, and improvement over time.

There is also the issue of transparency. According to several recent reports, AI-powered screening tools can produce results that are very difficult for applicants to defend or reason out. In a famous example in the United States, one tenant was rejected due to an inaccurate score even though he had a good rental history for 17 years. In a legal challenge, serious concerns about discrimination and erroneous decisions were raised.

When it comes to landlord protection, concerns were also brought up. Property professionals and housing researchers also complained that automated systems can also miss nuances, overlook fraudulent documentation, or depend on flawed datasets. Some cases have also resulted in inaccurate tenant reports and legal disputes because of poor-quality screening. This is why the “human in the loop” approach is more preferred in the Southwest.

Instead of replacing it entirely, technology should support and improve decision-making. AI-powered tenant screening is faster in verifying identity, affordability indicators, and credit data; therefore, speeding up the early stages of referencing. However, decision-making should always be done by experienced property professionals who have the ability to assess individual applicants fairly and consistently. It’s no doubt this approach is more beneficial to all involved parties. Landlords will have more balanced and fairly informed tenant assessments, while applicants are treated fairly and ethically. It helps prevent unfair rejections and ensure compliance. It’s true that technology is valuable, but human understanding is irreplaceable.
